#Who can manage maintenance schedules?
Maintenance schedules are an Admin-only feature (Circle Owner and Secondary Admin). Other household members can view the property section but cannot add, edit, or delete maintenance tasks.
#Where do I find the maintenance schedule?
- Go to Houses in the navigation
- Open a property
- Click the Maintenance tab (between Valuation and Documents)
#How do I add a maintenance task?
- Open a property and go to the Maintenance tab
- Click Add Task
- Select a task type from the dropdown — or click + Custom to create a new one
- Set the last service date (when the job was last done — leave blank if unknown)
- Set the frequency — how often the task repeats, in months
- Optionally add a service provider name and any notes
- Click Save
#What task types are available?
SimpliHome includes 20+ built-in task types covering the most common home maintenance jobs:
- Heating & Cooling — Boiler Service, AC Service, HVAC Filter Replacement, Chimney Sweep
- Exterior — Gutter Cleaning, Roof Inspection, Driveway & Patio Cleaning, Exterior Paint
- Water & Plumbing — Plumbing Inspection, Septic Tank Service, Water Softener Service
- Safety — Fire Alarm Service, CO Detector Check, Smoke Detector Battery
- Electrical — Electrical Inspection
- Pest & Cleaning — Pest Control, Window Cleaning, Pool Cleaning
- Mechanical & Garden — Garage Door Service, Garden & Landscaping
If you need something not on this list, you can create a custom task type.
#Can I create my own task types?
Yes. In the Add Task modal, click + Custom next to the task type selector. Enter a name for your custom task. It will be saved to your household and available for all your properties — it won't be visible to other households.
#How is the next due date calculated?
SimpliHome takes the last service date you provided and adds the task frequency repeatedly until it reaches a date in the future. That date becomes the Next Due date shown on the task.
Example: Last service 14 January 2025, frequency 12 months → next due 14 January 2026. If that date has already passed, SimpliHome keeps adding 12-month intervals until it lands in the future.
#What if I don't know the last service date?
Leave the last service date blank. The task will still be saved and appear in your schedule, but it won't have a calculated next due date until a date is entered.
This is useful for tracking that a task should be happening without committing to a made-up date. Once the job is done, you can update it with the actual service date.
#When does the overdue indicator appear?
A task shows as overdue when the calculated next due date is in the past. This happens if you have a last service date but haven't marked the task complete when it fell due, so SimpliHome can see the schedule has slipped.
#When does the "due soon" indicator appear?
A task is flagged as due soon when the next due date is within the next 30 days and hasn't yet passed. This gives you advance notice to arrange the work.
#How do I mark a task as complete?
Click Mark Complete on any task. SimpliHome sets the last service date to today's date and recalculates the next due date from there. The calendar event (if one was created) also updates to reflect the new occurrence.
#Will I receive reminders?
Yes. SimpliHome sends an email reminder 7 days before each task is due. The reminder email lists every task due in the coming week across all your properties, so you have enough notice to book a contractor or make arrangements.
Upcoming maintenance tasks also appear in your weekly household digest email.
#How do I turn off maintenance reminders?
Go to Account Settings → Notifications and toggle off maintenance reminders. This affects your own email preferences only — other admins in your household will still receive their own reminders based on their own notification settings.
#Can maintenance tasks appear in the household calendar?
Yes. If your Circle has auto-create calendar events enabled (in Circle settings), SimpliHome automatically creates a recurring calendar event for each maintenance task. Annual tasks recur yearly; monthly tasks recur monthly.
If auto-create is off, no calendar event is created. There is no per-task toggle — it follows the circle setting.
#Can I edit a task after saving it?
Yes. Click the edit (pencil) icon on any task to change the task type, service date, frequency, provider, or notes. Saving the edit also refreshes the next due date and updates any associated calendar event.
#Can I delete a task?
Yes. Click the delete (bin) icon on any task and confirm the deletion. This permanently removes the task and any calendar events linked to it.
#Are maintenance schedules shared across the household?
Maintenance schedules belong to a property, and all admins in the Circle can view and manage them. The schedule is not per-user — it represents the maintenance history of the property itself.
#Can different properties have different maintenance schedules?
Yes. Each property has its own completely independent maintenance schedule. A city flat might have a pool cleaning task; a detached house might have a septic tank service. They don't need to match.
